Facilities Administration Officer | Permanent Full-Time

We are seeking a highly organised Facilities Administration Officer to support the smooth, safe, and efficient operation of our campus.

This is a hands-on administration role where you will manage purchasing, deliveries, contractor workflows, maintenance scheduling, and compliance systems—ensuring our facilities run seamlessly to support teaching and learning.

Key Responsibilities 

Procurement & Financial Administration 

  • Source and evaluate quotes from suppliers and contractors 
  • Raise and track purchase orders in line with financial procedures 
  • Reconcile invoices against completed works and approved POs 
  • Manage supplier orders, deliveries, discrepancies, and follow-ups 

Logistics & Inventory 

  • Receive and log incoming deliveries across the school 
  • Coordinate internal distribution of goods to staff and departments 
  • Maintain inventory levels of facilities supplies and consumables 

Maintenance & Workflow Coordination 

  • Manage and prioritise facilities maintenance requests 
  • Schedule preventative and reactive maintenance work 
  • Coordinate contractors, ensuring compliance and site induction 

Systems & Compliance 

  • Maintain digital building systems and asset registers 
  • Ensure essential safety measures documentation, fire safety logs, electrical test/tag registers, and chemical registers (SDS) are digitally archived and up to date. 

About You 

We are looking for someone who thrives in a fast-paced environment and enjoys coordinating multiple priorities. 

You will bring: 

  • 2–3 years’ experience in facilities coordination, procurement, or high-volume administration 
  • Experience managing logistics, inventory, or goods receipting 
  • Strong organisational and time-management skills 
  • Excellent communication skills (written and verbal) 
  • Confidence working with systems and technology (MS Office and FM/finance systems) 
  • A sound understanding of purchasing processes and financial workflows 
  • Experience within a school or campus environment will be highly regarded.
